There’s no shortage of legacy software doing the rounds and these can have a seriously negative impact on your gym’s operation.
From costing you in time with fiddly workarounds, to hanging on telephone and chat lines for support, the effects are always demoralising.
Sometimes there isn’t an acute problem with your gym software, you just would like a higher level of automation, one that isn’t possible with what you have at the moment.
The good news is that migration is an easier option than you think, and some software companies will do it for you.
You can also use the experience as an opportunity to clean the data by eliminating duplicates and people who have left the area.
At Wellyx, we’ll do the migration for you.
At Wellyx, we start with the hardest bit, and also the most important. Porting over your customers payment data.
This starts when you give us authorization to ask Stripe to do X and y from your existing provider.
That usually takes a few days to do, but when complete, the rest of the data transfer can begin.
We’ll assign you a special team to do this.
At Wellyx we will assign a migration team to move over your data, so it will cost you minimal disruption.
We’ll also create a check up team to ensure it’s moved over correctly and that everything is working as it should.
The result is you could be enjoying the benefits of a top notch modern system running your gym for you, rather than struggling with the glitches and workaround the old system entails.
Your checklist: planning the migration
Assessing current data
The first step in migrating data is to conduct a thorough assessment of the data stored in Mindbody. This includes:
- Client information: Names, contact details, membership status, history, and preferences.
- Scheduling data: Class schedules, bookings, cancellations, and attendance records.
- Financial records: Billing information, payment history, outstanding balances, and financial reports.
- Staff information: Employee details, roles, schedules, and payroll data.
Defining data to migrate
Not all data may need to be migrated. Determine what’s essential for your operations. This might include:
- Active client data: Focus on clients who are currently active or have been active within a specific timeframe.
- Financial records: Migrate all relevant financial data to ensure continuity in billing and accounting.
- Operational data: Schedules, bookings, and historical attendance for at least the past year.
Data cleaning
Before migrating, clean your data to ensure accuracy and relevance. This involves:
- Removing duplicates: Eliminate duplicate entries to avoid confusion.
- Updating information: Ensure all client and financial records are up-to-date.
- Standardizing formats: Ensure data follows consistent formatting, such as phone numbers and addresses.
